Email Reports configuration leverages the new, streamlined admin console layout with the backend functionality you are used to in CMS.
To navigate to the new email reports configuration page, go to the Admin console from anywhere in CMS by clicking on the “waffle” button in the upper right corner of the page. Note: not all users have permission set up to access the admin console.
Once you are in the Admin Console select the Email Reports menu item from within the Reports section to open the new configuration page. When you open the menu item the landing page will be displayed. See below for example.
This page lists all the currently set up email reports for the current segment as well as any shared segments. Shared segment email reports pages will only be editable if the user has permission to access and edit it in the shared segment. The landing page shows the main information about each, such as the Description, Subject Line for the email that is sent, the last date that email report had been sent out, and whether or not the email report is active.
- To add a new Email Report, click on the
button at the top right of the screen.
- To edit an existing Email Report, click on the pencil on the left side of the landing page next to the email report you would like to edit. This opens the editing modal in front of the landing page.
- To delete an existing Email Report, click on the trash can icon on the left side of the landing page next to the email report you would like to delete.
Note: Below is a stitched image of the entire set of options for the email report configuration modal. It will not all be visible at one time on your screen.
The schedule creation for Email Reports is very similar to the schedule creation for Procedures and Procedure Schedules.
- To set a schedule, first enter the generation date you want the report to start being sent.
- You can then choose various options for the frequency, which will then enable other fields for the configuration.
- For example, if you choose Weekly or Monthly, you then see a field to enter the number of weeks, such as “Every 4 weeks”.
- If you choose the Choose Days option you will then see an additional selection below where you can choose which day(s) of the week you want you want the report to send.
- For the Monthly Specific Day option, you can choose First, Second, Third, Fourth, or Last, the day of the week, day, weekday, or weekend day and then the number of months. For example, you could choose the second Saturday of every 3 months.
- For all the schedule options you also have the ability to schedule exception months – if you don’t have a full crew or many people are on vacation for example, you could make December an exception month. The report would send on your set schedule criteria except for the month of December in that case.
Once you have set the fields for the report you want sent and the schedule you want them sent on, click on the Save button. The reports will begin to send based on the schedule and the generation start date you selected.
