About CMS Rounding
EOC/Rounding is a new stand-alone responsive single page web application that gives a user the ability to capture EOC round data via a PC or tablet device. The application is responsive in nature meaning that it will resize based on the device it is served up in. It can be used through a browser or It is also available as an iOS application through the App Store.
App Start- up/ Logging In
Users can log by going to:
https://rounding.facsur.com or by navigating to the Rounding application through the App Selector Button
from any other CMS Application. Depending on where you navigate from, you may be presented with the standard CMS login screen to access the Rounding application.
The site will present a loading screen at first. This initial load takes care of loading components and libraries and will make the rest of the application run smoothly.
Home Page
Once you’re logged in you will be redirected to the home page. The facility selection is defaulted to the Shared Segment initially (if available), otherwise if there is only one segment that the user is assigned to that segment is selected by default. You can change your facility selection by clicking on the map icon on the top menu and selecting the facility that you want to choose (much like CMS-Tech and CMS) . After selecting another facility, the app will refresh briefly with the loading screen and you will be redirected back to the home page. Whatever facility you select at that point will be remembered until you clear storage or cache.
On the home page there are 3 sets of grids (if data is available). The top grid includes everything that is a Rounds In Progress, the middle grid contains Clipboards (if any are created and assigned to the logged in user) and the bottom grid includes all of the “findings” that have been attached to a round library item. Rounds In Progress include rounds currently in progress and NOT FINALIZED; Open Findings include findings from rounds have been FINALIZED. Grid sorting, paging, and filtering is available on all three grids.
Users and Roles
The Users and Roles module is only accessible to users assigned to an Admin role. Contact FSI to set a user(s) to an Admin role then the Admin can assign others to the desired roles.
From the Users and Roles module landing page User information can be viewed and edited.
To edit a User, click the pencil – all fields can be manipulated and saved. If a User has not yet been assigned a Role, the Role will be required to save changes made to the User. In addition, you can add an Approver and a Requestor to a Round via the Round Template setup page with the checkboxes for Show Requester and Show Approver. Those roles are for informational and organizational purposes only and don't have specific functions, however they can be used to search Findings and Rounds that have those configured. See screenshot below for what the Round page looks like with those additional "roles."
User role designation
As aforementioned, users can be designated on the Admin/Users panel or they can be assigned on the round setup itself. Typically, you wouldn’t want to make a user a team member on one round and a safety officer on another round even though it is possible.
Setting Up Round Templates
Before performing rounds, Round Templates will need to be created. Features such as Code Libraries, Round Libraries and Round Types can be used to create customized Round Templates to support multiple types of Rounds.
Code Libraries
You can access code libraries by clicking on the gear icon on the menu and selecting “Code Libraries” under “Settings”.
This will take you to the main listing page. Here you can:
- Edit an individual code reference by clicking on the blue pencil.
- Delete a code reference by clicking on the red trash can.
- Create a new code reference by clicking on the blue plus sign.
Code sources can be created to associate with code references. On the code library screen, click Add Code Source to create a new code source or to modify an existing code source.
When creating a code source, simply enter the name of your new code source here and click “Save”. “Cancel” will take you back to the listing page.
Clicking the blue pencil or the blue plus button on the landing page will allow you to edit/add a code reference.
- Code Reference is just text
- Source is a drop down of available code sources (created from above)
- The text box is used for the Code Language
- Effective Date ~ when this is chosen, a new entry will be entered into library definitions and the previous entry will then have its End Date updated
- End Date ~ this is read only and is changed based on the aforementioned Effective Date
Clicking View History – Shows the history of the code language changes – this screen can be exported to Excel.
Round Types
You can access round types (aka Categories) through the settings menu and selecting “Round Types”
This will take you to the round types list page. Here you can:
- Edit an individual round type by clicking the blue pencil.
- You can delete a round type by clicking the red trash can.
- Create a new round type by clicking the blue plus icon.
- Clicking the “view children” icon will display a list of all child categories.
Creating a round type simply requires you to enter the description, select whether it will be visible, searchable, and whether this is a top level round type or a child.
If this is a child round type, uncheck the Top Level Category box. A menu will appear to select the parent round type with.
When editing an existing round type, the same options will be presented. The option to make the round type selected a child round type instead of a parent is also available.
Once a child round type has been created, this can be viewed by clicking the “View Children” icon.
Round Libraries
The next step to building your round templates will be to create round libraries. A round library is a series of items that are examined while performing the round it appears on. If the item does not pass inspection, findings can be created to have the area of concern addressed.
To begin creating a Round Library, click on Round Libraries located in the Settings menu.
Upon clicking this you will be navigated to a landing page that will list all of the libraries. Here you can:
- Edit existing round libraries with the blue pencil.
- View round library items.
- Delete round libraries (if the library is being used in a round template, it cannot be deleted. The library must be removed from the round template before deleting.)
- Add a new library by clicking the plus button.
When creating a round library, you will be prompted to name the library and provide a short description. An icon that represents the nature of the library items can also be selected.
Once the library has been created and saved, it will appear on the Libraries home screen. Next, click the icon to view library items. Until library items have been added, this section will appear blank. To add library items, click the blue plus icon.
Here you will enter the item, which is a point of survey or inspection. If the item is related to a code that you have created for reference, this can be added here. Notes as well as a recommended resolution if a finding occurs can also be included. If the item should create a work order for the Facilities team to address when a finding occurs, check the box to Create Work Order. If there are multiple items in the library, the order in which they appear can be set here.
If the option to have a work order created is selected, additional fields will appear to set up how the work order generates in CMS 4. The menu selections available for these fields are the same items available in CMS 4.
Once the items have been created, they will show under the library. Edit and delete icons are available if any library items need to be modified or removed.
Creating a Round Template
To begin creating a Round Template, select Round Templates from the Settings Menu.
After selecting Round Templates, the Round Template landing page will appear.
On this page you can:
- Edit an existing round template by clicking the blue pencil.
- View libraries selected for a round template.
- Create a new round template by clicking the blue plus icon.
After clicking on the plus icon to create a new template, the following page will open. A round name is required to save the template. Make sure to check the active box if the template should be available for users to select. Check any other boxes that will apply to the round template being built.
Once the template is created, Round Libraries can be added. While on the Round Template landing page, click the view library button next to the round you would like to add a library to. You will then come to the portal to add any library available from your Round Libraries.
On this screen you can:
- Add a round library to a round template
- Remove a round library from a round template
- Modify the order the round libraries appear in
Round Generation
There are two ways to have a round template generate: creating a round schedule or creating a round ad hoc.
Creating a Round Schedule
Rounds can be generated on a specific frequency rather than ad hoc if preferred. To begin scheduling a round, locate Schedules in the Settings menu.
After selecting Schedules, the Rounds Schedule page will open.
On this page, you can:
- Create a Round Schedule by clicking the blue + icon
- Edit a Round Schedule by selecting a blue pencil
- Delete a Round Schedule by clicking the red trash can
To begin creating a Round Schedule, click on the blue + icon.
For the first portion of the schedule, the fields in orange are required to be able to save the schedule.
- Round Template - Select a round template to schedule.
- Location - Select the location the scheduled round will be performed for.
- Department - Select the department the round is being performed in.
- Common Name - Give the round a common name (ex. PACU EOC Round)
- Safety Officer – Choose the Safety officer for the round. The selected user’s name will appear below the Safety Officer lookup along with their contact information. This field is not required for setting up the schedule and can be added after the round generates.
The second portion of the schedule is the schedule configuration:
- Set the generation date. This date will need to occur in the future. Generation dates set in the past will not generate the round.
- Select fixed or floating. The frequency types will change depending on the selection made.
- Choose the frequency that the round will need to generate on.
Fixed frequencies
Floating Frequencies
Once the steps are completed, the record can be saved. The generated round will appear on the home page under “Rounds In Progress”.
Creating an Ad Hoc Round
If scheduling a round is not preferred, a round can be created on demand.
To create an ad hoc round, click the blue plus icon on the home screen.
A menu of round templates will populate.
Highlight the round that is needed to generate, then click submit.
Setting up a Round
After selecting the round, you will then be lead to the setup page. Here you will be presented with a form. Required fields may depend on the selections made in the round template configuration.
- Select a Location (Always required)
- Select a Department
- Select a Department Contact (you can only select 1)
- Select a Safety Officer (you can only select 1)
- Select at least 1 Team Member
Selecting Location
Begin by clicking on the “Select Location” field. This will invoke a modal dialog that will give the user the ability to filter locations or select from a list of a few locations from a data tree (much like CMS Tech). Once the user selects a location, the modal will close and it will be inserted into the Location field back on the setup screen.
Selecting Department Leader
You must select one department leader in order to continue with the round process. The designated leader is the user who will actually resolve/unresolve the finding. Click on the + Add Department Contact button on the left above the Department Contacts grid and it will invoke a modal window that allow the user to enter a department contact via free form text or from a list of users. "Free-Form" can be used to add a User that is not available in the system users. If the user has been added via Free-Form, the user will need to be updated correctly by an Administrator to correctly choose the user’s role, add their email and make sure they are at an active status.
Once a department leader is selected, they will show up in the grid. You can remove them by clicking the X.
Selecting a Safety Officer
Select a safety officer to continue with the round process. The safety officer is the user who will finalize and close the round. Click on the + Add Safety Officer button on the left above the Safety Officer grid and it will invoke a modal window that allows the user to enter a safety officer via free form text or from a list of users. If the user has been added via Free-Form, the user will need to be updated correctly by an Administrator to correctly choose the user’s role, add their email and make sure they are at an active status.
Once a safety officer is selected, they will show up in the grid. You can remove them by clicking the X.
Survey Team
Add a team member by clicking the “+ Add Team Member” button. A modal will be invoked in which available users in the system will be presented. You search for team members by supplied a user’s name OR by entering their Department and clicking “Search”; that will then filter the list of users that is returned. You can then select multiple users by selecting the checkbox next to their name. Upon clicking “Submit” those users will then show up in the Survey Team grid.
Once survey team members are selected, they will show up in the grid. You can remove them by clicking the X.
Starting a Round/ Round Findings
When you’ve entered a location, department, department contact, and safety officer, you can start a round by clicking the “Start Round” button.
This next form is where the user will enter “findings” aka “deficiencies”.
View – Table of Contents
- This is the default view that the rounding page is set to and it works like a table of contents where selecting an item on the left will change what is shown in the center pane.
- Each of the items in the table of contents is a Round Library associated with the Template used to create the Round.
View – Scrollable
This is a view that allows the user to scroll through each by clicking on the title/icon area (currently only the top item is expanded by default) or the user can select “Expand All” to expand all of the items at once. Collapsing will collapse all the items, a user can view individual areas by selecting.
Adding a Finding
You can add a finding/deficiency by clicking on the green or orange plus sign. The orange plus sign indicates a finding that will create a work order for the Facilities team in CMS 4.
Checking Not Applicable indicates that the library item did not apply to the round being performed. Complete indicates that the library item was surveyed, but no findings occurred.
This button will open a modal and in this window the library item and code associated with the finding you’re about to enter appears at the top. You can enter an asset (if relevant); a location, a room, cost (if relevant), and estimated completion date. Clicking on the camera at the top right will open the camera if rounds are being conducted on a mobile device with a web camera.
A finding comment is required to save the finding. A recommended resolution can be added as well. If the finding was corrected during the survey, this can be noted by checking the “Corrected Onsite” box.
There is also an additional icon to attach an image from a user’s computer files.
Taking A Picture
As aforementioned, if you are using a device that has a web camera attached to it, when you click the camera icon, it will open a camera modal where you can snap a picture. If you’re not using a device with a camera attached, it will default to your computer’s file system. Click “Snap Photo” to take a picture of the item; you can choose either your front or rear camera. It will then be displayed in the modal window under the camera icon.
Once the image is displayed, you can click to expand it (it will be set at 65% of its original size in the viewer, but you can click on the text to expand to full size)
The option for using a photo from the device’s photo gallery is available. There are 2 icons – a camera and a file folder.
Opens the camera on a device.
Opens the photo gallery on a device.
Findings Count
Once you have submitted a finding that is associated with the library item, a red circle with the number of findings will appear to the right of the green or orange plus sign. Clicking on this will open a modal that will list all of the findings associated with this library item.
Clicking on the edit (pencil) icon next to an item listed will open the editing modal so that the user can edit the finding.
A findings count also appears next to the Library Name. Clicking on this will display all findings for all library items, as well as the recommended resolutions.
Clicking on the edit icon (pencil) next to an item listed will open the editing modal so that the user can edit the finding.
Finalize a Round
Once the Safety officer decides that the round can be finalized, they will click the “Finalize” button. This button is available to other users that can add/edit findings, but only Safety Officers can Finalize. Finalizing the round will create work orders in the system that are associated with the findings. An email will be sent to the Department Leader with a list of open findings.
Work Order generated from round finding in CMS system:
When a Work Order is closed from the CMS system, it will automatically close the Finding in the EOC Round system, and it will no longer appear in Open Findings.
Open Findings Dashboard
The menu item associated with this dashboard is “Findings”, clicking on it will redirect you to the Open Findings dashboard. This option will be available to all users of the system and is a dashboard of findings that their role is permitted to view.
Depending on the logged in user’s role, findings may also be seen on the home page.
Open Findings View Based on Role
Here’s a list of roles and what they will see here:
| Role | My Open Findings Data |
| Department Leader | Can only see findings that they are designated as department leader for. If the department leader was created via a free form text option, then a user who is in the system who is a department leader or safety officer can login and filter results by status via the dropdown that shows up for them to the left. |
| Safety Officer | Can see all findings that are resolved or unresolved. If the safety officer was created via free form text option, then a user who is in the system who is a department leader or safety officer can login and filter results by status via the drop down that show up to the left. |
| Team Member |
Can see only findings that they created that are unresolved. Since you can add non-users as department leaders and safety officers, there’s a dropdown option above the grid for a user who is in the system designated as either one to be able to filter all findings by a status. |
Editing an Open Finding
Clicking on the edit icon in Open Findings will open a read-only detail page. All users can access this page, but only Safety Officers and Department Leaders can resolve, unresolve, or close the finding and add notes.
All users can add notes to the findings which will be stored in the Note table in the system. Each note will be displayed in descending order under the editor. If a Work Order was created for this finding, that work order note will appear here. If a note is created here and not in the CMS system, it will only appear here not in the other system.
To add a note, just enter text in the editor and click “Save Note”
Button functions:
Unresolve - Sets a finding back to a finalized state, but not resolved. All findings are initially set to this state.
Resolve - Sets a finding to be resolved which means that the finding has been resolved and it’s ready for the next step.
Close - A finding can be closed here and it will update the Round status to complete which will clear it from the system. A finding can also be closed from the system via Work Order – if that is the case, it will not show up in the EOC round system.

Email Template
The email template that is sent out is specific to each client. The email is sent to the person(s) specified as the Department Contact. Typically, this template will have a listing of all the work orders that were created as well as items that are outside of facilities management and work order that were not created. The template will look like this and is automatically sent out after the round has been finalized.
When the department leader that receives the email clicks on the link contained in the email, it will open directly to the findings from the round performed.
Rounding Email Response
With the introduction of the Admin Console, the ability to create custom Email Responses has been introduced into the Rounding application. In the application you can create custom email templates for Round Findings criteria or Round Finalization criteria. Also, you can choose from a wide range of Special Fields while creating the email body to accurately display the correct, desired information.
Email Response can be activated via the Role Administration. Contact Customer Support to enable the Email Rounding Response in the Admin Console or have a user with the Full Admin role add the Rounding items under Menu Role Configuration.

Navigation Menu (aka the “Hamburger”)
The top menu item has a number of features available. The main navigation is located on the far-left side with the “hamburger” menu. You can choose Home, Findings, Clipboard, Reports, Round Search, Finding Search and Clipboard Admin from here.
Findings Landing Page
The Findings Landing page is available to make searching for Findings easier. To access the Findings landing page, navigate to the “hamburger” menu in the upper left corner of Rounding. There you will find an item in the list called Findings. Note that this feature is currently only available to users who are assigned as Admin or Safety Officer roles.
Once you click on the Findings menu item you will be taken to the Findings Landing Page. The default search that is used when you go to the landing page is all Findings for the current segment that have a status of In Progress, Unresolved, or Resolved status.
Findings can be filtered by status and library items. A type to filter box is also available.
Clipboards Landing Page
Selecting the Clipboard option on the navigation menu will take the logged in user to a list of active clipboards they are assigned to. If the user is not assigned to any open clipboards, this section will appear blank.
From this grid, the user can search or open any of the assigned clipboards to complete.
Reports are available for the Rounding Tool. Click on this in the navigation menu to view the selection ready for use.
Rounds, both finalized or in progress, can be searched by using the navigation menu.
When Round Search is selected, the complete list of Rounds, both in progress and finalized, will be displayed. From here, the user can narrow down the selection by clicking on the magnifying glass at the top right of the screen.
From here you can enter in criteria to any of the fields to use for your search. This will help your team locate finalized rounds, rounds with certain department contacts listed, and more. Click the Search button to see your results in the landing grid.
Once in the results page, if you click on the list icon to the left of the round it will open up the round and you can look at the findings and details for the round. If it is not finalized yet you will be able to work on the round right from there. If it is already finalized, it will show you all the information about the round but will not allow you to make changes.
Note: After you open a round from the landing page, clicking the back button on your browser will take you back to the landing page with the search results you had most recently searched for.
If you click on the cog wheel icon to the left of the round, it will open the round setup screen for that round so that you can see the details of the setup and make changes, if needed.
If you click on the blue pencil icon to the left of the round, this will take you to an Admin Tools page. From here, a link can be retrieved that can be sent to users. The link will open to findings that need resolved. There is also the option to resend the finalization email that will contain the link. Note: Once the link is regenerated, it is only good for 30 days.
Finding searches can be performed from this menu as well.
If the user is just searching by status, this can be selected from the findings search landing page. Fields outside of the status related to findings can be searched by using the magnifying glass at the top right.
A search modal will open allowing a User to search by Round criteria and/or Finding criteria.
Results on the finding page can be modified by clicking the edit icon to the left of the finding. This is the finding edit portal:
Here you will see different buttons depending on the status of the finding.
The one shown above is for an In Progress finding that has not been finalized. The list below are items that are available on this finding:
Edit – this is where most finding info can be edited, or after a finding is completed, the information is read only.
Notes – Here notes can be added to the finding.
Resolve – If the user is a Department Leader or Safety Officer, the option to resolve the finding is available.
Close – If the user is a Safety Officer, the option to close the finding is available. Options to duplicate the finding and adding an image are also available here.
Clipboard
In addition to Rounds, users can use Clipboards to complete their rounds. Clipboards are meant to be shorter, more frequent rounds that are generated and completed on a regular, predetermined schedule.
The following are some guidelines regarding when to use Clipboard vs when to use Rounding:
• Touring an area of the facility
• Have a list of deficiency/conditions that are being checked
• Can identify multiple deficiencies for each inspection point
• Have a defined path user is following through the facility
• Checking locations or asset for specific condition
• Taking readings
• Verifying condition
• Updating meter
• 1 to 1 for Inspection point and value
You can access clipboards by clicking the cog wheel icon (Settings Menu) in the upper right side of the main header and then clicking on Clipboards.
Once you click on Clipboards, you will come to the Clipboards landing page.
From this page, you can do the following:
- To edit the settings of a Clipboard, use the blue edit pencil.
- To view the history of completed Clipboards, use the blue history button.
- To create a new Clipboard, use the blue plus icon at the top right.
*Note*-Once a Clipboard has been created, it cannot be deleted. You will need to make the Clipboard inactive to ensure that the inspections no longer generate.
Creating a Clipboard
To set up a Clipboard, the fields below need to be completed.
Name will be what you are calling the Clipboard (ex. Boiler Inspection, HVAC Inspection)
Status will be either active or inactive. Clipboards will only generate with an active status.
Next Inspection is the date and time you want the Clipboard to generate.
Clipboard Expiration can be set if you only want the Clipboard to generate for a specified amount of time.
Frequency is how often you want the Clipboard to generate.
When this information has been entered, you will then need to click Save to continue to the next portion of setting up your Clipboard.
Next, you will add members. Adding members will assign users that will be completing the inspection.
These users will be assigned to each Clipboard that is generated.
Click the + Members button to show a menu of users available to be assigned to the Clipboard.
When the menu comes up, you will select the users to assign by placing a checkmark next to their
name. There is also a search bar to locate users quicker. Once you have the users selected, click
the submit button.
Once your users have been added, they will show on the Clipboard page. If users need to be deleted,
clicking on the red trash can will remove them from the Clipboard.
After the Members have been added, Inspection Points will need to be added.
To begin adding inspection points, click the + Add Inspection Point button.
To begin creating the Inspection Point, an asset or a location will need to be selected. Either one is required to continue building the Inspection Point. If location is selected, the Location Other field can be used to define a more specific area within the chosen location.
The Details field is where the Inspection Point will be outlined. This will be what the user sees when completing the Clipboard and will be the question or task that will need a response.
Response Type is the form the response should be in. There are several to select from to be used for a variety of Inspection Points.
- A decimal will require the response to include a decimal point.
- Selecting an integer requires a whole number as a response.
- A text response allows for any type of answer to be given.
- Pass/Fail, Yes/No, Yes/No/N/A and Yes/No/Repaired show as buttons for the user to choose from.
- Custom Type allows custom responses to be given. Up to three custom responses can be created.
Below is an example of a Custom Type response set up.
Below is how the Custom Type response is shown on the Clipboard.
Inspection Points can also be made to be required as well as have a text box for comments. If an Inspection Point is made required, the Clipboard will not be able to be completed until a response is given.
Once the Clipboards start generating, they will appear in the middle of the Home screen below the Rounds In Progress.
Corrective Work Orders
Just like corrective work orders can be generated from findings, they can also generate from failed clipboard inspection points. Corrective work orders can be configured when setting up clipboard inspection points. These will generate to the corresponding CMS 4 segment.
To create a corrective work order for an inspection point, click on the WO Create tab while creating the inspection point.
The Comparison Type and Failure Value(s) fields will determine what fails the inspection point and generates the work order. The remainder of the fields are to set up the work order when it generates. It is recommended that at least a status and category are provided so that work orders can be located with a simple search.
“Skipping” Clipboard Inspections
For various reasons, a clipboard inspection may not be completed. When this occurs, a person with the Rounding Admin role may elect to “skip” these inspections.
Located in the navigation menu is the Clipboard Admin feature.
From this screen, the user can select specific clipboards to be “skipped”. Clipboards can also be selected to be “unskipped”.
Integrating with CMS View
Integrate your facility’s floorplan drawings to locate Findings onto the floorplan. The Rounding CMS View module allows users to view Findings by building/floor and Round Type, create new Findings, and open and edit Findings from the floorplan view.
