This tutorial will show you how to group Asset Schedules that have already previously been scheduled.
Grouping Asset Schedules provides ease of completing PMs by having multiple assets on 1 WO, having the option of using the Pass All button in CMSTech, as well as Technicians have less number of WOs.
**NOTE: Schedules must have all the same settings for Grouping to complete; Grace Period, Pass All, Work Order Settings.
The most common way to group asset schedules is by Asset Categories and Locations. When grouping current schedules it is best to have in mind what your final outcome will be:
➢ How do I want them grouped?
- Category: All assets with the same Category
- Category & Location: All assets with the same Category by location
Once you have determined how you want the schedules grouped, you will search for the schedules.
➢ If you are only grouping by the Category, you can search for Procedure Name or Number and the asset Category.
➢ If you are grouping by Category & Location, search for Procedure Name or Number, Asset Category, and location.
Search. This brings up all schedules within the criteria.
Once you confirm that these are the correct schedules. Place a check mark in the top check box to check all, click the Mass Edit icon
and confirm your selection .
On the Schedule Mass Edit screen click YES for Group Assets
This will activate the “Group By” dropdown field, where you will select the Location Level you will choose to have the assets grouped by.
Select the preferred level and save. The next time that the schedules generate they will be grouped.
**NOTE: To have a better understanding of your Location Levels please refer to Locations listed in the Admin Console.
Sample defined locations:
- Facility - means all locations within your Segment
- Location Level 1 - is usually individual buildings or campuses
- Location Level 2 - will be Floors or Buildings on a Campus
- Location Level 3 - will be Rooms or Departments or Floors in Buildings that are one a Campus
For example, we have now created a new Root level Location – “North Pittsburgh Medical Center”, and a Child level – “1st floor”, to create a room under the 1st Floor you would click the next to the 1st Floor on the Location landing page.
In this example, there will be 3 PMs generated for Med Gas Valve – Monthly, one for each floor, 1st, 2nd & 3rd.
🚨**NOTE: When Asset Grouping, you need to make sure that all Schedules have the same Pass All settings and WO settings, ie, Status, Category, Priority, & Trade.
