Create and setup Zones within the organizations.
To create a new Zone, click
- Name: (required field) Create name of Zone
- Description: (required field) Short description of Zone
- Locations: Select the locations that are to be covered with this Zone Setup
*NOTE: For Priorities, Trades and Categories, if none are selected it will include all. Only select if you have specific ones to be included.
- Priorities: Select specific Priority or multiple Priorities; if it is to cover all Priorities, do not select any. If no Priorities are selected, it will include all priorities.
- Trades: Select specific Trade or Trades; f it is to cover all Trades, do not select any. If no Trades are selected, it will include all Trades.
- Categories: Select the specific WO Category to be included in zone.
- Schedule Start: (required field) Date when the Zone Assignment will begin.
- Scheduled End Date: Date Zone Set Up is scheduled to end. Only use if there is an end date, leaving this field blank will leave Zone active.
- Shifts: To be used if there will be specific timeframes the Zone will be triggered.
- Assign Users: Select when ready for Zone to begin triggering
*NOTE: The following fields are only to be used if the current field needs to be changed when a WO is created and flows through Zone Assignments.
- Change Trade: Trade on the WO to be changed to
- Change Status: Status on the WO to be changed to
- Change Priority: Priority on the WO to be changed to
From here you can choose a zone to edit or delete just as before. You can also filter, search, and sort what you see in the landing page as well.
Creating a new Zone
To create a new zone click on the button in the upper right corner. This will open the Zone create window.
Most of the functionality will be the same, but the controls and scheduling have a few modifications to make it easier and clearer. As before, the Name and Description for the Zone are required. Schedule Start is also required, however one change is that Schedule End date is NOT required any more. If you want the zone to run indefinitely you can leave this field blank.
Fill in any of the Locations, Priorities, Trades, and Categories that you want to be part of the Zone. These are how the zone identifies, processes and assigns work orders for your zones. You can select multiple entries for those fields.
If you want the zone to be set to assign and/or adjust the trade, status, and priority of those work orders only during certain times or shifts, click on the check box and the Shifts tools will expand in the window. If you select the Shifts checkbox, at least one shift needs to be setup in order to save the Zone.
You can now select the day(s) of the week you want the process to run this zone or you can select it to run All Days but at only certain times of the day. Once you have entered the time of the shifts by clicking on the clock icon and selecting times or just typing in the numeric time values, the button will be enabled. Click the button to set the shift for that zone. You can also add multiple shifts, for example, if your team for that zone is active from 6am to 2pm on Mondays, Wednesdays, and Fridays, but from 7am to 1pm on Tuesdays and Thursdays, your configuration will look like this:
This was set by clicking on the Mon, Wed, Fri buttons, setting the time to 6am start, 2pm end and clicking on the Add Shifts button. Once those were added the shift selections above cleared and we select Tue and Thu buttons and enter the 7am start and 1pm end time and click the Add Shifts button again.
You can also edit the times once they are added by just clicking into the time box for the shift and typing in the change you want to make. To delete the shift click on the trash can next to the shift you want to remove.
The Assign Users checkbox is checked by default when creating a new zone. The assignments are set up in the Zone Assignment section of the Admin Console which we will discuss later.
You can also choose to have the system change the trade, status, and/or priority of the work orders that meet the criteria of the zone by selecting the values you want those fields changed to. If you leave those options blank the zone process will only assign the users, configured without changing those fields as well.
Editing an existing Zone
To edit a zone record, click on the pencil icon next to the zone you want to edit from the landing page. This will open the edit window for Zones where you can make changes. Click on the Save button to save the changes or the Cancel button to exit without saving the changes you made.
Duplicating a Zone
If there are similar zones to setup with only minor differences between them, a zone can be duplicated to make minor updates for a new zone.
At the bottom of the Zone Setup edit window there is a Duplicate button. When you choose to duplicate the zone a confirmation will popup.
Upon selecting Yes to duplicate, a new zone edit page will open, all the information from the original zone setup will be included and the new zone will have the same name as the original zone followed by "dup". In order to enable the Save button, the Name of the new Zone must be changed.
