The ability to edit and delete model names (in addition to previously being able to add new model names) and set up permissions for the editing and deletion of model names to make sure your data is kept up to date.
Setting up the Model Name Permissions
From the main CMS page, click on the “app selector” icon and select the Admin Console. Not all users will have permissions to get into the admin console, so check with your facility administrator if you do not have access and feel that you should.
Under the User Management section of the Admin Console, select the Permissions Matrix option. Select the role you would like to edit permissions for in the top Role dropdown. When you click on the Asset Models tab you will see permissions for Model Names. You can allow users to Create, Edit, and Delete (View currently has no specific functionality) Model Names by setting their permission for each component to All.
Editing Model Names
From the Models module in CMS 4, you can edit the Model Names for your facility by selecting the edit pencil for a current Model number or creating a new one.
From the Model edit screen click on the Model Name lookup field. This will open the Model Names window and you will see the options for Edit, Delete, and Create here.
Now you can edit mis-spellings, delete model names you no longer want users to use, as well as create new model names that will show in the model name dropdowns for models.
Depending on the user’s permissions, they will see an edit pencil, a trash can, and the Create Model Name button in this window. If they do not have permission to Edit or Delete, for instance, the window will look like the screenshot below – no edit pencils or trash cans, but they still have the Create button.
If you delete a model name, the model numbers (and assets assigned that model number) that you edited with that model name will no longer show the model name. You would then need to add a new model name for that model number if you want the field to be populated, so use caution when deleting model names here. Other model numbers that may also be using that same model name would need to also be edited. If you edit a model name, it will then be corrected in model numbers (and assets assigned that model number) the next time you open up the model or asset records.
Note: The ability to edit model names is only within the Models module, not in individual assets. It is best to get your preferred model names set for different model numbers within this module and then when users choose a model number for their assets the model name will populate on the Asset correctly for your organization.
