This tutorial will show you the 2 ways to Mass Edit to add documents to multiple assets at the same time such as manuals, pictures, or vendor documentation via Documents or Models.
In Documents module you choose the specific assets; in Models you attach to the model number and all assets that have that Model number will have the attachment.
DOCUMENTS
In the Documents module, click the to add a new document.
- File Name: Click to upload file.
- Description: Name/description of the file.
- Status: select the status
- Is Attachment: If the document is to be shown on assets as an attachment
- Attributes: add any attributes.
- Linked Records: Add Assets, Locations or Regulatory Dashboard Elements that this file is to be attached to.
When click Assets in the Linked Records panel, the Asset Search screen will appear.
Enter the Asset criteria and click search. Assets matching the criteria will appear to select all or individually.
Once you have selected the assets click Save.
Assets will appear in the Linked Records, click Save.
Attachment will now show on asset in the Attachment panel, clicking the download icon will download the file into the computer download folder.
*If Document has already been loaded into CMS you can edit it to attach to Assets. To accomplish this you would select Yes for “Is Attachment” and Link the Records to be attached to.
MODELS
Once a Model has been created in the Attachment Panel you will attach the document.
Click
Choose type File or Link
Click to attach a document/picture, add description and save.
Click to attach a link to a website where the information is stored. For Example, link is attached to manual on the Manufacturer’s website, this allows for the most recent documentation to be readily available when opened, if the Manufacturer updates their links.
Upon saving the Model, the attachment will appear on all assets that have that same Model number.
