Field Validation can be used to ensure that when attempting certain actions that specified fields are populated with information before the action is permitted. This feature can ensure that non-required fields are populated with data when performing certain transactions.
To set up Work Order Field Validations, login to admin.facsur.com and under the Work Order settings click select Field Validations.
First, select the Transactions to Validate. These are the actions that will trigger the validation. Select between Time Charge, Material Charge (+Charge Part), Vendor Requisition (+Order Part) or Warehouse Requisition (+Request Part). For example, if Time Charge is selected, when creating a time charge the user will be prompted to acknowledge the data in the fields, or fill in the fields, if no data is present.
Select which Category Types to Validate. At least one of the options of Scheduled or Unscheduled categories is required. (reference the Category configuration to determine which categories are Scheduled or Unscheduled)
Select the Work Order fields that should be validated to perform the Transactions selected above. This is a required field, at least one field must be selected.
Select an Options for validation.
- Enabled: this turns on the Field Validation in the Work Orders module
- Lock Validation Fields Once Validated: after a user has confirmed and validated all the selected fields from the validation modal, this option will make it so these fields cannot be changed. The fields will be grayed out and will not open when clicked.
- Show & Require Checkboxes for Validation: this option will add checkboxes to the validation modal as a second layer of confirmation. In order to confirm or save the validation the boxes must be checked before the validation modal can be saved.
*If the Show & Require Checkboxes for Validation is enabled a fourth option will appear
- Validate on Complete: when checked, the validation will be added to the Complete status. So, if the user is attempting to complete the work order without attempting the selected transaction, the validation modal will open when clicking Save after changing the status to Complete.
*If no Options are selected for validation an automatic validation will occur if the selected Fields to Validate are populated with data.
Use case:
In this scenario the fields of Status, Category, Priority, Trade, Location and Room/Area are fields that will need to include data for the User to create/add a time charge.
When attempting to add a labor charge to the following work order the field validation modal will appear because no values for Priority, Trade or Room/Area have been set.
After clicking +Add Labor Charge the field validation modal will appear. Since the Show & Require Checkboxes for Validation has been selected there will be checkboxes next to the selections in the modal as an additional layer of validation.
All the selected Fields to Validate will appear in the modal and be required IF there are no values already saved in the fields. To satisfy the validation, fill in the Priority, Trade and Room/Area fields and confirm that all the information is correct by clicking the checkboxes. Then Save. After saving the Labor Charge modal will open and the user can then add a new labor charge.
After a Work Order has been validated a new data line will appear on the Work Order above the Date Created and Work Order Number below the Menu bar.
